Behind the Scenes: What Your Wedding Photo & Video Team Actually Does on Your Big Day

Couples often ask us what we're actually doing all day. When you book a wedding photography and videography team, what does that full-day coverage really look like? Let's walk through a typical wedding day from our team's perspective.

Pre-Wedding Preparation

Our work doesn't start when we arrive at your wedding. Days or weeks before, we conduct detailed consultations discussing your vision, priorities, and must-have moments. We scout your venue—sometimes multiple times. We coordinate with other vendors. We organize equipment—multiple camera bodies, lenses, backup batteries, memory cards, lighting equipment, audio equipment, and redundant backup systems.

Arrival and Early Coverage

We typically arrive 30 to 60 minutes before the first scheduled moment. Once the day begins, we're capturing getting-ready moments—details of the dress, rings, boutonniere, shoes, and jewelry. We're documenting candid moments while remaining unobtrusive.

Ceremony Coverage

This is where having multiple photographers or videographers becomes essential. Our main photographer captures the ceremony's emotional arc while our second photographer captures guest reactions and different angles. Our videographer records ceremony audio through lavalier microphones so you hear vows clearly. During ceremony, we're managing technical challenges in real-time without drawing attention.

Transition and Portraits

The period between ceremony and reception is where details get neglected if your team isn't thorough. We capture confetti tosses, document the venue transition, and begin couple portrait sessions. Family photos require coordination and efficiency. Couple portraits are where artistry shows prominently—we're using the venue deliberately, managing light, and guiding you toward authentic moments.

Reception Coverage

We capture grand entrances, the first dance, toasts, cake cutting, parent dances, and sparkler exits. We're also documenting details—decorated tables, flowers, centerpieces, food plating. Candid moments throughout often become favorites because they're authentic and unguarded.

The Editing and Post-Production Work

What many couples don't realize is how extensive post-production work is. For photography, we review every image, organize, color correct, and creatively edit. For videography, we review footage, color grade, edit to timeline with music, sync audio, and create final files. A 20-minute edited film might require 40 to 60 hours of post-production.

Why Professional Teams Matter

This behind-the-scenes work is why professional photography and videography costs what it does. We're charging for pre-wedding preparation, technical expertise, creative vision, efficient execution, and extensive post-production work.
